Here’s how to upload Invoices on behalf of your Vendors in Liquid.

Liquid makes it easy for your Vendors to invoice you. Still, there are times you may want to upload invoices on behalf of your Vendors. Here’s how.

Upload an Invoice via a Work Order

Start by logging into Liquid.

  1. Once you are logged in, go to Work Orders on the left side.
  2. Select your active Work Order.
  3. At the top of the Work Order, click on Here are actions you can take for this project.
  4. Press the +  Upload Invoice button.
  5. This will open a new page with the Vendor, Work Order name, and payment terms prepopulated. 
  6. Upload the file (acceptable file types are PDF, DOC, DOCX, or image files with maximum size of 32MB).
  7. Then, enter invoice details — Invoice number and Invoice total (total amount invoiced). An invoice number will be pre-populated, but you should adjust this manually to match the actual invoice number from the Vendor’s invoice.
  8. You can also adjust the payment terms. Options are: Due Upon Receipt, Net 7, Net 14, Net 30, Net 45.  
  9. Press Submit Invoice to complete the Invoice upload. 

Once the Invoice has been uploaded, then you can pay the Invoice or schedule a future payment. 

Upload an Invoice via Invoices Page

Start by logging into Liquid.

  1. Once you are logged in, go to Invoices on the left side.
  2. Press the + Invoice button. 
  3. You will be prompted to select a Vendor. If you don’t see your Vendor on the list, you may choose to invite them.
  4. Then you will be prompted to select a Work Order. If you don’t have an active Work Order with that Vendor, you will be prompted to Create Work Order. You will also be able to upload an invoice without a Work Order by clicking Create the invoice without it.
  5. Once you have selected an active Work Order, you will automatically navigate to that Work Order, with the Here are actions you can take for this project section automatically expanded.
  6. Press the +  Upload Invoice button.
  7. This will open a new page with the Vendor, Work Order name, and payment terms pre-populated. 
  8. Upload the file (acceptable file types are PDF, DOC, DOCX, or image files with a maximum size of 32MB).
  9. Then, enter the invoice details — Invoice number and Invoice total (total amount invoiced). An invoice number will be pre-populated, but you should adjust this manually to match the actual invoice number from the Vendor’s invoice.

Once the Invoice has been uploaded, then you can pay the Invoice or schedule a future payment.
